seaman book correction name, ranks

Only the flag administration that issued your seaman book can correct it, and it corrects the book to match your passport, not the other way round. Report the error as soon as you see it. The Bahamas Maritime Authority accepts correction requests only within 6 weeks of the issue date; after that it needs a new application with a new fee. Liberia replaces a book that “requires alteration” instead of amending it.

Never alter the book yourself

Do not write over, white out or “fix” an entry by hand, and do not ask anyone other than the administration or the ship’s master to do it. A hand-altered book looks exactly like a forged one at a port state inspection or a visa counter. The correction has to come from whoever made the entry.

Which error do you have, and who fixes it?

ErrorExampleWho corrects itWhat they need from you
Name misspelt or in the wrong order“Mohd” for “Mohammed”, surname and given name swappedIssuing flag administrationPassport data page; the page of the book showing the error
Legal name changeMarriage, divorce, court orderIssuing flag administration, after your passport is updatedNew passport; the legal document (marriage certificate, court order), translated if needed
Wrong date or place of birthDay and month transposedIssuing flag administrationPassport; birth certificate if the passport itself is in doubt
Wrong nationality or passport numberOld passport number printedIssuing flag administrationCurrent passport, and the old one if you still have it
Wrong rank or capacity in a sea-service entrySigned on as AB, entry says OSThe master or company that made the entryContract, crew list or a company sea-service letter showing the correct rank
Rank printed on the book that does not match your certificatesBook shows a rank your CoC does not coverIssuing flag administrationYour CoC and any flag-state endorsement for the rank
Wrong sign-on or sign-off dateDischarge date a month outThe master or company that made the entryContract and the company’s sea-service letter

The first five rows are the administration’s record. The sea-service rows are the ship’s record. Under the Bahamas rules, for example, the record of employment carries the master’s signature (BMA Bulletin 107, §3.4). So the company corrects its own entry, not the flag.

What each flag publishes about corrections

Checked 27 October 2026. Where a flag publishes nothing, we confirm the route for each application rather than guess.

FlagPublished ruleSource
BahamasThe company and the seafarer must check the book’s details on receipt and notify the BMA of errors (§3.13). Correction requests must arrive within 6 weeks of the issue date. After that, a correction cannot be issued and a new application, with payment, is required (§4.1.13)BMA Bulletin 107, Rev. 04
LiberiaA book that “requires alteration” is handled as a replacement, applied for immediately (§4.5.1). Published fee for a replacement book: USD 50 (about AED 184)RLM-118, Rev. 04/2026
PanamaNo correction procedure published for the seaman bookConfirmed per application
Palau, Belize, Honduras, St Kitts & NevisNo correction procedure publishedConfirmed per application

Liberia, one more rule worth knowing: an applicant who “willfully misstates a material fact” faces a USD 500 administrative penalty (RLM-118 §3.2). A correction must make the book match your real documents. It is never a way to change an age or a rank you do not hold.

seaman book correction

How to get a seaman book corrected: five steps

  1. Check every field the day the book arrives. Name, order of names, date and place of birth, nationality, passport number, rank and dates. Compare them character by character against your passport. On a Bahamas book the 6-week clock starts at the issue date, not when you open the envelope.
  2. Fix the source document first. If the passport itself is wrong or out of date (for example after a name change), renew the passport before anything else. The administration will only correct the book to match a valid passport.
  3. Collect the evidence for the error type. Use the table above: passport and the book page for identity errors, the legal document for a name change, the company’s sea-service letter for rank or date entries.
  4. Send the request to the issuing administration, or to the company for a sea-service entry. Write down the reference number and date.
  5. Verify the corrected book directly with the administration before you travel. See how to verify a seaman’s book online.

Name changed after marriage, divorce or a court order

This is not an error in the book, but the fix is the same: the book has to follow the passport. Update the passport first, then apply to the flag with the new passport and the legal document that links the two names. Your STCW certificates and CoC still carry the old name, so keep that linking document with them until each one is reissued or revalidated in the new name. A name that differs across passport, CoC and seaman book is one of the most common reasons a file is queried. See the pre-submission checks that stop it.

A national CDC or SIRB with an error

If your book was issued by your own country (an Indian CDC, a Philippine SIRB or a UAE Seafarer’s Discharge Book), only that national authority can correct it, and Seaman Books cannot file it for you. India runs corrections through the “Request for Personal Details Correction in Seafarer Profile” on its e-governance portal (dgma.gov.in FAQ). In the UAE, the Ministry of Energy and Infrastructure handles data changes for national seafarers.

Not sure whether your book is national or flag-state? See Indian CDC vs foreign seaman book. Once a national document is corrected, any flag-state book you hold has to match it. That part we can handle.

How long does a correction take, and what does it cost?

Time. No administration publishes a correction turnaround. The Bahamas deadline is about when you ask (within 6 weeks), not how long it takes. Where a correction means a reissued book, time runs from a complete file, so having the passport and evidence ready is what sets your date.

Cost. The administration’s fee plus our service fee, itemised separately before you pay. The only published figure is Liberia’s USD 50 (about AED 184) for a replacement book.

What Seaman Books does, and does not do

Seaman Books does not issue or amend seaman’s books; only the flag administration can. We work out which administration issued your book and what kind of error it is, prepare the correction or replacement file to that administration’s current requirements, file it through the authorised route and track it to delivery. Atomiq Management Consultancies L.L.C. has worked on seafarer documentation from Business Bay, Dubai since 2011 and is ISO 9001:2015 certified. We cannot guarantee a government decision.

Frequently asked questions

Can I correct a spelling mistake in my seaman book?

Yes, but only the flag administration that issued it can make the correction, and only to match your passport. Report it as soon as you notice it. The Bahamas Maritime Authority accepts correction requests within 6 weeks of the issue date. After that, it requires a new application and a new fee.

How do I change the name in my seaman book after marriage?

Update your passport first. Then apply to the flag administration that issued your book, with the new passport and your marriage certificate as the link between the two names. Keep that certificate with your STCW certificates and CoC until each one is reissued in your new name.

My date of birth is wrong in my seaman book. What should I do?

Do not travel on it. Send the issuing administration your passport and the page of the book showing the error. If the passport itself is wrong, correct the passport first. A correction can only bring the book into line with your real documents. Liberia penalises wilful misstatements with a USD 500 fine.

Who corrects a wrong rank in my seaman book?

It depends where the rank appears. A rank in a sea-service entry was entered by the ship, so the master or company corrects it, backed by your contract or a sea-service letter. A rank printed by the administration is corrected by the administration, and only to a rank your CoC covers.

Is there a time limit for correcting a seaman book?

For a Bahamas book, yes. Correction requests must reach the Bahamas Maritime Authority within 6 weeks of the issue date. After that, a new application with payment is needed. The other six flags Seaman Books files with do not publish a deadline, so check the book the day it arrives.

Does Liberia correct a seaman book or replace it?

Liberia replaces it. The Liberian Registry treats a book that “requires alteration” like a damaged or filled book and asks for a replacement application straight away. The published fee for a replacement book is USD 50, about AED 184, plus any service fee.

Can Seaman Books correct my Indian CDC or Philippine SIRB?

No. National documents are corrected only by the national authority that issued them: DG Shipping for an Indian CDC, MARINA for a Philippine SIRB. Seaman Books works with flag-state books from Panama, Liberia, the Bahamas, Palau, Belize, Honduras and St Kitts & Nevis.
